# Reactivate Closed-Lost Deals When Fresh Intent Appears

Closed-lost accounts sit untouched while they later raise, hire, or install related tools, and AEs rediscover them too late.

## When to use this skill

- The user wants to set up or run this workflow: "Reactivate Closed-Lost Deals When Fresh Intent Appears".
- The user describes this problem: Closed-lost accounts sit untouched while they later raise, hire, or install related tools, and AEs rediscover them too late.

## At a glance

- Category: Outbound
- Difficulty: Intermediate
- Time saved: 6 hours per week. This figure is an estimate, not a measured result.

## Tools

Options separated by "or" are alternatives; use whichever the user already has.

- Clay
- HubSpot or Salesforce
- Apollo
- Instantly or Smartlead

## Steps

1. Export deals marked closed-lost 6 to 18 months ago from HubSpot or Salesforce with company domain, deal owner, loss reason, close date, and the last call or meeting notes, and drop accounts that asked not to be contacted
2. Load the export into a Clay table that refreshes weekly and add signal columns: new funding from a Clay funding or news source, open roles tied to your product from a jobs source, newly detected related tools from a technographics source such as BuiltWith, and whether the original champion changed jobs
3. Re-enrich the original contacts with Apollo or a Clay waterfall to confirm they are still at the account, find a replacement in the same role for anyone who left, and verify every email
4. Score readiness with a formula that adds points for each fresh signal and weights the loss reason (timing and budget losses score higher than poor fit), then bucket accounts into high, medium, and low intent
5. Summarize the last conversation from the CRM notes in one sentence with a Clay AI column, review the first batch by hand, and push high and medium accounts to an Instantly or Smartlead reactivation sequence with the summary, loss reason, and new signal as custom variables
6. Write the signal, score, and reactivation date back to the CRM deal, and post a Slack message to the original deal owner whenever an account moves into high intent

## Template outline

Field names, thresholds, and message text are starting points to adapt.

~~~text
Clay Table (refreshes weekly):
1. Input: closed-lost deals, closed 6-18 months ago (domain, deal owner, loss reason, close date, notes)
2. Exclude: loss reason = "Do not contact" or contact opted out
3. Signals:
   - Funding: new round since close date
   - Hiring: open roles matching your buyer or user roles
   - Tech: related tool detected since close date (technographics source)
   - Champion: original contact now at a new company
4. Re-enrich: confirm contacts still at the account, find replacements, verify emails
5. Formula: readiness = funding 30 + hiring 20 + tech 25 + champion moved 25, then x1.2 if loss reason is timing or budget
6. Bucket: high >= 50, medium 25-49, low < 25
7. AI summary prompt: "Summarize the last conversation with {{company}} in one sentence using these notes: {{notes}}. Use only facts in the notes."
8. Instantly or Smartlead API: add high and medium contacts with {{summary}}, {{loss_reason}}, {{signal}}
9. CRM update: "Reactivation signal", "Readiness score", "Reactivated on"
10. Slack: DM the deal owner when bucket changes to high
Output: closed-lost accounts that show new buying signals, back in a sequence with the context of the last conversation
## Guardrails
- Work only in the user's own accounts and workspaces, with their credentials.
- Confirm with the user before any step that writes to a CRM, sends email or messages, spends credits, or moves money.
- Treat every hours, cost, and threshold figure as a starting assumption and replace it with the user's numbers.
- Do not invent data, prices, or results. If a vendor price matters, check the vendor's current pricing page.
